Terms and Conditions
It is important that you read the following information before you book as these terms apply to your booking and to all members of your group. It is also important that you understand the Terms and Conditions together with our Privacy Policy before you book with us. Whether you have chosen to read them or not, they are applicable for all members of your group. These Terms and Conditions are available and freely accessible on our website.

We accept bookings subject to the following conditions:

Why do we need Terms and Conditions?
Because we need to know what we can expect of you and you need to know what you can expect of us.

Who we are, you and what it means?
1. In these conditions [we] – and [us] means Ibiza Gathering web page trading as and the business operated by Republic Artists Limited

2. [You] means the person who has contacted us by phone, email or via the website and each and every member of the group on behalf of that person who has enquired/booked with ‘us’.

What we do?
We organise club nights, party trips, tours in the UK and Europe. In these conditions (event) means any event or activity participated in by  you or your group, or any accommodation you stay in and organised by us.

What do you agree to do?
1. To behave at all times in a safe and courteous manner.
2. To obey the proper instructions of any supervisor, security, event organiser or guide.
3. To compensate us or our contractors for any damage caused by you in the course of an event.
4. Each member of the group is responsible for their own individual behaviour.
5. Taking drugs and any illegal substances is strictly prohibited

How do we deal with the risk?
We do all we reasonably can to reduce the risk to you. If we have done that and are not negligent, you will take responsibility for any risks involved in the participation in any event. In order to reduce risk, the following conditions will apply: We reserve the right to withdraw you from an event if you do not honour your obligations under clause  What do you agree to do? of these conditions or if, in our opinion, you are not sufficiently fit to participate in any event or if you are under eighteen or deemed to be in a dangerous state due to alcohol or drugs intake. You must let us know of any existing medical condition which may affect your ability to participate fully in an event, if you do not this will void any liability by us.

We insist that you arrange accident cover (holiday insurance) for all of your party when you attend an event. We think this is vitally important. We are entitled to assume that either you have arranged your own cover or you are prepared to take the risk of being uninsured.

Payment and Surcharges
We accept the following methods of payment: Debit Card, all major Credit Cards and payment directly into our bank account via BACS or online transfer (Stripe).

Payment by bank transfer does not carry a surcharge. Payment by debit card, Credit card or via paypal is subject to a 0% of value surcharge.

All groups and individuals must pay a non-refundable deposit to secure their booking. The second instalment is due by the 1st March and your final balance by the 17th May. If the remaining balance or the second instalment is not received within the time limits specified, you may jeopardise our ability to provide the event and we have the right to treat the booking as cancelled. You will be liable for the cancellation charges due to us under this agreement.

What happens if you cancel or change your booking?
If you wish to change your booking in any way we will try to comply with your requests but we cannot guarantee that changes can always be made. Where a change can be made, we may charge an amendment fee.

Where the price of your Arrangements depends on the number of people booked and extra people are added to the booking, the price will be reworked on the basis of the new number of people going and we will send you a new confirmation letter. You will be required to pay the increased price.

Any cancellation must be sent by e-mail by the organiser (you) to the person in our company (us) responsible for your booking. You may cancel within 7 days of us receiving your deposit without reason. In this case, we will return your deposit within 7 days of receiving your cancellation. However we will not return deposits paid within 12 weeks of your arrival date. Depending on the date of cancellation, you must pay the following cancellation charge.

CANCELLATION AND NAME CHANGE CHARGES 

More than 12 weeks prior arrival 50% of the total package cost is scheduled to take place.
Between 6-12 weeks prior arrival 80% of the total package cost is scheduled to take place.
Less than 6 weeks prior arrival 100% of the total package cost is scheduled to take place

£30 – booking name change may apply

What if we cancel?
In most cases neither we nor you are entitled to cancel because of adverse weather conditions. For some events if the safety risks are, in our discretion or our suppliers discretion, unacceptable, we reserve the right to cancel the event. If we do cancel in such circumstances, we will make every effort to reschedule the event for another date. We will not be obliged to give any refund if we cancel an event because of adverse weather conditions. This will also apply to any rescheduled event. We can also cancel the whole package in the case of Force Majeure i.e. Civil War, Acts of god, pandemia etc.

Unless we cancel in the circumstances described above, we will only cancel if: For reasons beyond our control, we cannot organize the event or the proposed venue because the event is unavailable. You or we become insolvent or in the case of an individual you become subject to a bankruptcy position. We believe that the booking, any of those associated with it, or the purpose of the booking might damage our reputation. We decide that any reduction in numbers from the original booking makes the event uneconomical or impractical.

Unless we cancel because of safety risks associated with the weather (when we will reschedule) or because of a reduction in numbers (when a cancellation charge may apply), if we cancel we will refund all advance payments made by you and we will not have any further liability to you.

Accommodation
If your group booking includes accommodation, the name and address of the accommodation will be sent to you in your travel information 1 weeks prior to travel. The location of the accommodation booked is deemed centrally located at our discretion. Our accommodation will provide good access to all elements of your weeks package to include nightlife and daytime activities.

All accommodation that we use is advertised and booked in one and two bedroom apartments, hotel and hostel rooms unless otherwise stated. However, subject to changes in numbers and most suitable room configurations, we reserve the right to move members of the same sex to different room configurations to make the best use of available accommodation.

Event Timings and Itinerary
We assemble each itinerary with the greatest of care using our wealth of experience in the industry. As stated in our itinerary, you are required to arrive at the venue/site at the time indicated to allow for a smooth running programme. Failure to do so may result in the quality and duration of your activity being compromised or even cancelled. We will not be liable in the event of you failing to arrive at an activity or venue at the time specified.

Passports and Visas
You are responsible for ensuring that you hold the correct documentation, are in possession of a valid passport with a suitable time until expiry to enter the chosen country, visa permits, inoculations and preventative medicines as may be required.

Agreement
We believe that the above terms and conditions are fair. They are governed by the law of England and Wales.  We reserve the right to make amendments and improvements to these terms and conditions without notice.

Privacy Policy
When contacting us we use your personal information to provide the services you’ve requested (eg. to send you a quote | book a package | sent special deal).

We do not pass your details on to any third parties.
